Our Policy

Nelson Notes LLC

At Nelson Notes, trust matters. Families invite us into their learning lives, and we take that responsibility seriously. This page explains—clearly and honestly—how we handle information, why we collect it, and how we protect it.
 

Our goal is simple: to support learning while respecting privacy.
 

Our Approach (In Plain English)

Nelson Notes LLC:

  • Collects only what is needed to support learning or coaching

  • Uses information only to help students, parents, and adult clients

  • Never sells information—ever

  • Does not use information for advertising, profiling, or marketing

  • Limits access to information to authorized Nelson Notes personnel

  • Welcomes questions and preferences at any time
     

We aim to be transparent, thoughtful, and relational in how we work.
 

Who This Applies To

This policy applies to:
 

  • Students receiving services with a parent or guardian

  • Parents or guardians communicating on behalf of students

  • Adult clients receiving coaching, tutoring, or training services

  • Organizations with whom we contract teaching, training, or curriculum
    design support services
     

When we say “Nelson Notes LLC,” we mean the owner and authorized Nelson Notes personnel who support services and documentation.
 

What Information We Collect

We collect limited information needed to do our work well, which may include:

  • Student name, age, and grade level

  • Parent, guardian, or adult client contact information

  • Scheduling and attendance details

  • Learning goals, skill areas, or focus areas

  • Session summaries and progress notes created for parents or adult clients

We do not collect unnecessary personal, financial, or unrelated data.

Session Summaries & Parent / Client Feedback

Many families find written summaries helpful. These summaries are meant to:

  • Show what we worked on

  • Highlight skills practiced

  • Clarify next steps

  • Support follow-through between sessions

Summaries are created for parents of students or for adult clients and are part of our instructional and coaching support.

Zoom, Google Classroom, and Documentation Tools

Zoom Session Summaries

We may use Zoom-generated session summaries as a reference point to:

  • Recall topics discussed

  • Support accurate educational notes

  • Help create clear follow-up summaries

We do not retain Zoom recordings unless explicitly agreed upon.
 

Google Classroom & Shared Documents

Summary information may be:

  • Added to Google Classroom

  • Used in shared documents

  • Used to provide helpful parent feedback, including end-of-month summaries

These materials are private and shared only with parents or adult clients.
 

Use of Digital & AI-Assisted Tools

To help organize notes and communicate clearly, Nelson Notes may use secure digital tools, including AI-assisted tools, to:

  • Condense session notes

  • Improve clarity and organization

  • Create readable, parent- and client-friendly summaries

Important things to know:

  • Information comes only from sessions

  • Information is never sold

  • Information is never used for advertising or profiling

  • These tools support documentation we are already creating
     

Optional Sharing of Medical, Behavioral, or Educational Plans

Parents or adult clients may choose to share additional information—such as:

  • IEPs or 504 plans

  • Medical or behavioral context

This information is:

  • Entirely optional

  • Used only to support accommodations or helpful strategies

  • Never shared with anyone—ever

Families decide what, if anything, they wish to share.
 

Who Has Access to Information

Information is shared only:

  • With parents or guardians of students

  • With adult clients

  • With authorized Nelson Notes personnel, as needed to support services

Access is limited to what is appropriate and necessary.
 

Opt-Out Option (Always Available)

Families and adult clients may opt out of AI-assisted summaries at any time.

If you opt out:

  • Summaries will be written manually or kept high-level

  • Services continue as usual

  • Care and attention remain the same

Just contact us if you have a preference.

Contracted Organizations

Nelson Notes LLC may contract with other organizations to support business operations, professional services, or infrastructure.

These organizations do not receive student or client information.

  • No student or client data is shared

  • No session content is shared

  • No records, summaries, or personal information are provided

Contracts with these organizations are separate from client services and are not used for instructional, coaching, or documentation purposes.

Student and client information remains solely within Nelson Notes LLC.

Data Security & Real-World Limits

We take reasonable steps to protect information, including:

  • Secure accounts and passwords

  • Limited access to records

  • Careful handling of shared documents

That said, no digital system can be guaranteed to be completely secure. Events outside our control—such as third-party platform breaches or malicious attacks—can occur.

 

If something unexpected were to happen, we would respond responsibly and take reasonable steps to minimize harm.
 

What We Never Do

Nelson Notes LLC never:

  • Sell student or client information

  • Share data with advertisers or third parties

  • Use information for marketing

  • Create behavioral or psychological profiles

  • Publicly share session content
